Innovation Home Privacy Principles

At Innovation Home, we respect your privacy and follow these principles when processing personal data:

1. We value the trust you place in us when you provide us with your personal data. We always use your personal data in a way that is fair and worthy of the trust you show.

2. You have the right to receive clear information about how we use your personal data. We are always transparent about what data we collect, how we use it, with whom we share it, and whom you should contact if you have questions.

3. If you have any questions regarding the use of your personal data, we will resolve them together without delay.

4. We take all reasonable measures to protect your data from misuse and keep it safe.

5. We comply with all applicable Finnish and EU data protection laws and regulations and cooperate with data protection authorities. If there is no data protection legislation, we follow generally accepted practices concerning data protection.

6. We also take data protection into account in all our services. We discuss data protection issues with our customers and respond to their questions related to data protection to the best of our ability.

7. Our employees’ employment contracts take into account the duty of confidentiality regarding all customer-specific information to which they have access due to their work tasks. Our employees’ access to customer-specific information is limited to information necessary for the performance of their duties.

Innovation Home is committed to securing your privacy and ensuring that your personal data is protected. This privacy policy describes what types of personal data we collect and how we use, disclose, and protect such data.

 

Innovation Home Registers Containing Customer and Personal Data

IH maintains registers of its customers, contact persons, potential prospects, and its own staff.

IH uses data collected directly from the data subject for communication, development of its own services, and contacts between IH and the above-mentioned stakeholders. Communication may also include marketing communication, but even then, it is limited to IH’s own services. IH does not use personal data received from contract customers or partners for the above-mentioned purposes without the consent of the party concerned.

The registers contain only such data that is strictly necessary for the implementation of the purpose of the register. For example, the Innovation Home customer register must necessarily include the names of the customer’s contact persons.

The principles for data deletion are described in the following section. Information stored in log files and already sent messages will not be deleted, as they may be needed even years later for investigating possible misuse or disputes.

 

Content and Processing Principles of IH Registers

IH maintains the registers described below. The contents of all registers are subject to IH personnel’s confidentiality commitment.

Customer and Contract Registers (Hubspot)

  •   IH’s information systems and paper archives
  • Customer and contact person details, contracts, offers, and correspondence
  • Contact information is deleted upon request, other data is not deleted. You can request deletion of your data by contacting work@innovationhome.fi
  • Access by IH staff and individuals deemed as such

Billing Information Register

  • Procountor service
  • Customer’s billing address and billing-related information, e.g. reference number and payment terms
  • Data is deleted upon request. Data of already sent invoices is not deleted. You can request deletion of your data by contacting work@innovationhome.fi
  • Access only by IH staff and accountants who need the data to perform their tasks. Accounting is outsourced to Tili & Talous Kettunen Oy (Business ID: 0868902-5).

Customer Information Register

  •  IH booking software Asio and Hubspot (CRM)
  • Customer contact persons’ email addresses, phone numbers, and positions
  • Marketing bans (all marketing, only email, only SMS)
  • Segmentation into groups appropriate for communication (e.g. contract-related matters, marketing-related messages, and industry-specific communication needs)
  • Data is deleted upon request. Already sent messages are not deleted. You can request deletion of your data by contacting work@innovationhome.fi
IH Employee Payroll Register
  • Payroll is outsourced to Tili & Talous Kettunen Oy (Business ID: 0868902-5)
  • Statutory data for salary payment and annual reporting
  • Data is deleted upon request once annual reporting has been completed. Already recorded salary payments are not deleted. You can request deletion of your data by contacting work@innovationhome.fi
  • Access only by accountants, payroll staff, and IH’s limited payroll staff

IH Employee Employment Contract Register

  •     Employment contracts, employment certificates, salary information, CVs, confidentiality commitments. Storage in SharePoint and payroll
  • Data is not deleted
  • Access only by IH management

Marketing Register

  • Hubspot (CRM)
  • Contact persons’ names and email addresses of organizations in target sectors
  • Used only for communication related to IH’s services
  • Collected from customers’ public websites, membership registers, or obtained through other public channels
  • Data is deleted upon request. Already sent messages are not deleted. You can request deletion of your data by contacting work@innovationhome.fi
User Access Data of Persons Using IH Services
  • Asio booking system
  • Data is deleted upon request by the person or the organization’s main user. Already made reservations or other database updates are not deleted. You can request deletion of your data by contacting work@innovationhome.fi 

IH Access and Camera Surveillance Register

  • Avigilon Alta camera surveillance system
  • Surveillance cameras record only premises operated, rented, or owned by IH
  • Cameras are used to protect the property of IH and its customers and to ensure personal safety
  • Cameras do not record audio and do not use facial recognition
  • Cameras record for 30 days, after which the data is erased and overwritten
  • Access to recordings is restricted to IH’s responsible person (Tommi Aaltonen). Other IH employees do not have access to the system
  • Data is deleted upon request by the person or the organization’s main user. The requester must provide exact times and dates of the recordings where the requester or representatives of the requested organization appear and which are requested to be deleted. Disclosure of Customer Data

IH does not disclose its customer register data to third parties (except subcontractors/contractors providing services to IH. In these cases, only the data necessary for providing the service is disclosed). IH does not sell or rent its customer register data to third parties. If customer data must be disclosed to external parties for any reason, IH will ask for consent from the company and individuals concerned before disclosure.

 

Protection of Registers

IH’s registers are stored using appropriate tools as described above. Access to information systems requires a username, password, and the database server address. Data is not stored on paper.

 

Data Subject’s Rights of Access, Rectification, Erasure, and Objection

The data subject has the right at any time to request from IH the data stored in the register concerning them and to receive copies thereof. The access request must be made in writing and addressed to the register controller.

The data subject has the right to request correction of their register data.

The data subject also has the right to request the erasure of their data from the register. The principles of data erasure have been described above for each register. Information stored in log files and already sent messages will not be deleted, as they may be needed even years later for investigating possible misuse or disputes. IH also has the right to refuse erasure of register data insofar as it concerns matters contractually necessary for an ongoing customer relationship. IH has a legitimate interest not to erase data, or if there is reason to suspect that erasure would hinder the investigation of possible misuse. The data subject has the right to prohibit the controller from processing their data for direct marketing, distance selling, other direct marketing, as well as for market and opinion research. The prohibition must be made in writing and addressed to the register controller.

 

Use of Cookies and Statistics on IH’s Website

IH’s website uses cookies. The purpose of cookies and statistics is to improve, develop, and target IH’s website and its content. We ask visitors to our website for consent to the use of cookies. If the visitor does not consent to cookies, no data is collected.

IH’s website may contain links to third-party websites. IH is not responsible for the websites or content of third parties. Third-party websites are not part of Innovation Home, and their privacy practices may differ from those of Innovation Home. The owners of linked websites have the right at any time to request IH to remove the link to their site, unless there is a contractual obligation associated with it. Right to Lodge a Complaint

The data subject has the right to lodge a complaint with a data protection authority if they consider that their data has been processed in violation of Innovation Home’s practices.
